Cancellation policy (An ‘Academic year’ covers the period 1st September to 31st August)
1. For bookings made between 1st October – 31st July for the forthcoming academic year commencing 1st September, you can cancel your booking in writing or by sending the property management an email within the 48 hours ‘cooling off period’ of accepting and completing your tenancy online.
2. For bookings made after 1st August for the forthcoming academic year, there is no cooling off period and you cannot cancel your booking. (please see the replacement tenant policy)
3. For bookings made during and for the current academic year (from 1st September to 31st August), you cannot cancel your booking once you have accepted the tenancy offer (either manually or digitally online)
4. Please note that once you have received your key and checked in to your accommodation you cannot cancel your booking and you will be legally bound by the terms and conditions of the accepted Tenancy Agreement and will be liable to pay all the amounts due.
5. If you do need to cancel you will need to follow the property management's tenant replacement policy or meet the requirements of their No place, No Pay policy.
6. In instances where a holding deposit has been paid and the tenant fails to manually or digitally complete the booking, or declines the tenancy offer, the property management reserves the right to retain the holding deposit in lieu of costs incurred.
Once you have booked and completed your tenancy agreement, you will be legally bound by the terms stipulated in the agreement.
After cooling-off period has expired
If the 48-hour cooling-off period has expired there are some scenarios where you may be able to cancel your booking if you meet the necessary requirements. These are:
No Place, No Pay Policy
If your offer of a place at your preferred/current University/Higher Education Institution is withdrawn by the University/Higher Education Institution as a result of you not achieving their required entry grades or passing your end of year exams, you may be eligible to be released from the tenancy agreement.
You may also be eligible to be released from this agreement if you are a prospective first year undergraduate student and you choose to go to a University in a different city because you have exceeded your expected grades.
To apply to be released from this agreement in the circumstances referred to above, you will need to supply the property management with a copy of:
1. A written rejection letter from your chosen university /college or UCAS or a screen shot of your UCAS status which confirms that the required results were not achieved; or
2. A copy of the proof of acceptance of your new university by UCAS adjustment.
These document(s) must be received by the property management within 7 calendar days from the date your results are published or by 1st September (which ever date is the sooner). Please email the documentation. On receipt of the required documentation, it will be verified and, provided they are satisfied, they will cancel your agreement and refund your holding deposit in full.
If you cannot get a visa to study at a UK University (either on campus or online remote study) and you can provide written evidence that your visa and university application has been refused, the property management will release you from your tenancy agreement and make a full refund.
Evidence must be provided within one week of notifying the property management that you are unable to obtain a visa.
If the Tenancy has already commenced, and you have NOT collected your keys, you will be charged for the period from the ‘Tenancy Start Date’ to the date you provide the evidence that you have not been granted a VISA and/or do not have a place at a UK University.
If the tenancy has started and / or you have moved into the accommodation prior to your Visa application being declined you will be responsible for the rent until the property management can find another tenant to rent your room (please see the Replacement Tenant Found policy)
Once you have signed and accepted your Tenancy Agreement, you are legally bound and it is your responsibility to adhere to the terms for the full duration of the contract. However, the property management understands circumstances may arise whereby you need to terminate the contract early. In order to do this, you must contact the Management team to discuss reletting your accommodation and you must complete a re-letting form.
Please note:
1. You will remain responsible for the accommodation, rent and terms of your contract, until a new suitable tenant is found. If you relet your room, it must be for the full duration of the remaining tenancy agreement and for a minimum period of 8 weeks. The property management will endeavor to help you to find a new tenant. However, please note that they prioritize customers on their waitlist and their directly available rooms, before they will accept a referral from you or your agent
2. Any outstanding amounts on your account must be paid in full before the property management agree to you re-letting your room.
3. 48 hours are required between the re-letting tenant departing and new tenant arriving. The re-letting tenant is liable for this period
4. A relet is complete when approved by the property management and when the new tenant has accepted their tenancy offer and paid any fees due
5. Any discounts you may have benefited from will be cancelled and will not be transferred to the new tenant. Rental discounts or promotional offers are void when a contract is terminated early.
6. Rooms will be relet at the prevailing rate as advertised on the website.
7. If you relet your room, you will be charged £50 in lieu of administration costs incurred.
8. The property management reserves the rights to deduct any fees/ rents from any credit balance on the account if applicable
9. If a refund is owed, this will be processed and refunded via your original payment transactions.
10. The property management will not sanction any relet whereby it is found the outgoing tenant is found to be profiteering from the reletting process.

At New Park there are a limited number of Studios available for double occupancy at an additional charge of 25% of the total rent.
Property will be happy to accept parcels on your behalf. They won't accept anything they think may contain offensive, dangerous, illegal or illicit material, anything that's too big or heavy for them to store or food deliveries. To pick up your parcels you'll need to bring along some photo ID and sign for it. They'll do their best to look after parcels safely but, in the unlikely event of something going wrong, they won't be liable for any damage to, or loss from, any parcel that you've authorised them to accept on your behalf.
You will need to make sure that property have evidence that you have been exempt from paying Council Tax during your stay with them. You can get a Council Tax exemption certificate from your university to prove this.
Once property have this, and they have inspected your room and found no damage they will release your deposit to the Deposit Protection Service or in Scotland the Lettings Protection Service. You can then claim your deposit back from this service (this is a legal requirement in the UK).
You can return your keys to reception in person or you can post them through reception's post box in a key return envelope which you can collect from reception. Please make sure the keys are labelled with your name, room and flat number. If the keys are not returned you will be charged for a replacement key and fob.
You may return your keys before the end of the tenancy, this will not constitute the termination of the agreement and tenants will waive their right to return to the property, to access the accommodation or request keys at any time prior to the end of the tenancy.
You will need to discuss this with the reception team as it will depend on when your current tenancy ends and the new one begins, and whether someone else will be staying in your room over the summer.
They normally advise students to contact a storage company in the area if they cannot keep their belongings in their room.

• Your accommodation fees must be paid before arrival. If there’s any outstanding money on your account, you’ll have to pay this before you check-in.
